Start with the operating problem

A useful implementation brief explains the decisions, delays and control gaps the organisation needs to improve. Feature lists matter, but operating priorities give the project a clearer direction.

Assign accountable owners

Name the people responsible for decisions, data preparation, process validation, training and internal communication. Shared ownership is valuable; unclear ownership is expensive.

Understand the records you have

Review existing member, customer, product and transaction records early. Identify duplicates, missing fields and inconsistent references before migration dates are agreed.

Validate workflows with real users

Configuration should be tested against realistic daily work. Include the people who approve, post, reconcile, report and answer customer questions.

Plan adoption beyond training

Training introduces the platform. Adoption also needs internal champions, support routes, clear cut-over instructions and time to reinforce new responsibilities.

Agree what success means

Define practical indicators such as process completion, record quality, user adoption and reporting readiness. Use approved operational measures rather than promotional promises.
